Data Protection Complaints Policy

Purpose

This policy sets out how the Company handles data protection complaints in line with UK GDPR, the Data Protection Act 2018 and the Data (Use and Access) Act 2025 requirements, effective from 19 June 2026.

 

Scope

Applies to all personal data processing activities and all staff members.

 

Complaints

 

Individuals may complain about any aspect of personal data handling. Complaints should be made to The Data Protection Officer:

Submission

 

Complaints may be made by email, telephone, post, web form, social media or in person.

 

Process

 

Complaints will be acknowledged within 30 days, investigated, the complainant kept informed, and an outcome issued without undue delay.

 

Records

 

All complaints will be logged and retained for a period of 6 years from the date the complaint is resolved or closed.

 

Escalation

 

Individuals may contact the ICO if dissatisfied.
